Cancellation Policy
🌟 Booking Policy for Appointments & Sessions Ensuring smooth scheduling and respectful use of time ✨ Scheduling Appointments All appointments must be booked in advance through our approved scheduling system, phone, or email. Sessions are confirmed only after you receive a confirmation message from our team. Walk‑ins are not guaranteed and will be accommodated only if staff availability allows. ✨ Arrival & Check‑In Please arrive 5–10 minutes early to allow time for check‑in. Late arrivals may result in a shortened session to avoid impacting the next appointment. If you are more than 15 minutes late, the appointment may need to be rescheduled. ✨ Cancellations & Rescheduling Cancellations must be made at least 24 hours in advance. Appointments canceled with less than 24 hours’ notice may be marked as a “late cancellation.” Repeated late cancellations or no‑shows may affect future booking privileges. To reschedule, please contact us as soon as possible so we can offer the slot to another family. ✨ No‑Show Policy A “no‑show” is defined as missing an appointment without prior notice. After two no‑shows, future appointments may require supervisor approval. If transportation or emergencies arise, please notify us as soon as possible. ✨ Youth Safety & Supervision A parent/guardian must accompany minors unless prior arrangements have been approved. Youth must be picked up promptly at the end of their session. Staff may not transport youth unless scheduled through the organization’s transportation procedures. ✨ Session Expectations Sessions begin and end at the scheduled time. Please bring any required forms, materials, or documents. Disruptive behavior or policy violations may result in the session ending early. ✨ Staff Availability Appointment availability may vary based on program schedules, events, and staffing. We reserve the right to adjust or reschedule appointments when necessary, with notice provided. ✨ Communication All appointment reminders will be sent via email, text, or phone, depending on your preference. Please ensure your contact information is up to date. For Youth Ages 16–17 – Driving Readiness & Safety Programs Purpose of the Policy This policy ensures that all youth participating in CWFAH driving‑related sessions are safe, supervised, and supported. CWFAH’s Driving Readiness Session is educational only and does not include operating a vehicle. No Behind‑the‑Wheel Driving Youth will not drive on-site
